Start with the questions you answer every day.

Before adding any tool, look at the last three months of enquiries. Most support inboxes are dominated by a small number of repeated questions: delivery timelines, pricing, account access, opening hours.

Those repeat questions are the safest place to begin. They are predictable, low risk, and easy to measure. If AI handles them accurately, your team immediately gets time back for the conversations that genuinely need judgement.

Give the assistant real context, not guesses.

An assistant is only as good as the material it can read. Connect it to your published policies, product pages, and internal help notes so its answers reflect how your business actually works.

Keep that source material in one place and review it on a schedule. When the underlying content is out of date, the assistant confidently repeats the mistake at scale.

Some of the biggest gains are invisible to the customer. Summarising long threads, drafting replies for an agent to edit, tagging tickets by topic, and flagging urgency all shorten response times without changing the customer’s experience.

This internal use is also lower risk. A person still reviews the output, so mistakes are caught before they reach anyone.

A high automation rate looks impressive and tells you very little. Track first response time, resolution time, repeat contacts on the same issue, and satisfaction after an AI-assisted conversation.

If repeat contacts rise, the assistant is closing conversations without solving them. That is a cost, not a saving.

Improve it in small, deliberate steps.

Treat the assistant as a product that needs maintenance. Review a sample of transcripts each week, correct the answers that were wrong, and expand the scope only once the current scope is reliable.

Small, steady improvements compound. Large, untested changes tend to create new problems faster than they solve old ones.
